  • Business Blog 4 October 2023: Building Successful Business Habits

Most people believe it is a drop in sales and turnover that results in most businesses closing down. In actual fact, it is lack of cash-flow that results in most closures. When faced with a drop in sales you only have four courses of action: Use pro-active intervention to grow your turnover. Relaunch your business, recruit more income generators, introduce new income streams by adding more services, grow your retail offering, even increase your prices. Every new strategy you launch will have an impact on turnover. Take out a loan to see you through better times when your turnover will magically grow and take care of all your money problems. Take control of your cash-flow. Regardless of your turnover, you only need a certain amount of money to run your business and, as long as you can cover those costs, as and when they are due, you will survive while you action the strategies mention in point 1. Lastly, you can always throw in the towel and close down. For me, only points 1 and 3 are viable options. Today I want to deal with point 3. Control your cash-flow. Let's be very clear, turnover is not profit but it does generate cash-flow. There is however a break-even point when your turnover starts contributing to your profit. Once you total up all your fixed costs such as rent, fixed salaries, telephone, electricity, water, (in other words your operating costs), including an estimation of commissions, etc, you will know approximately how much it costs you to run your business, i.e. your break-even point. All turnover thereafter goes towards your gross profit. Bearing that in mind, the skill is to protect the money in the bank (basically your turnover) and not spend money unnecessarily, until you have reached that break-even point. Imagine having two bank accounts: The first bank account contains 'un-spendable money', that is only spent to pay unavoidable expenses such as rent, Bargaining Council, SARS etc. Thereafter that bank account is used in anticipation of expected salaries. The second bank account is only used once you have met your liabilities. Some people already do this with regard to SARS, i.e. bank the VAT portion of your turnover in the protected bank account. This will require a lot of discipline until it becomes a business habit but once it is, you will be surprised how much more disposable money you will have. Just don’t forget point 1. – Terry Miles, MD MySalon Software Email: info@mysalonsoftware.co.za Web: mysalonsoftware.co.za

  • Business Blog 2 October 2023: Efficient Stock Management

One of the most frequently asked questions from salon owners is “What is the best way to control stock?” So Many Ways to Manage Stock Over the years I have witnessed everything from limiting the amount of stock (value) to a strict percentage of the previous month's turnover to popping out to buy a box of colour whenever a client makes an appointment for a colour service, to investing in so much stock (just in case you need it) that you're not able to park your car in your garage because it's full of stock! Symptoms of poor stock management - you keep running out of popular items and/or not having cash in the bank to buy stock because you are overstocked and all your cash-flow is sitting on your shelves. Guidelines for effective stock management: • MODEL LEVEL - Give every stock item a model level. The model level is based on current sales or usage, i.e. how many of each item you need to cover you for say a month. That figure is your model level. Do the same exercise for every item you use in your business. • REORDER LEVEL – When to reorder? This is the point when you should reorder items so as to not run out of stock when it’s needed. For example, if you use 6 of an item per month that would be your model level. To ensure you don’t run out of stock, you would probably make three your reorder level. • STOCK TAKES - Take stock regularly, at least weekly. If you don't you will not be able to control your stock effectively. • STOCK REPORTS – Reports tell you how your stock is moving. If your software system has them, there are two reports that should be checked on a regular basis. The first is stock movement - This shows you the movement of stock, i.e. what you've bought, what you've sold and what you have used in your business, between periods of time (normally stock takes). This will guide you as to whether you need to increase or decrease your model levels. The second is forward cover report - This report is a life saver to check, based on your current stock on hand, how long each item will last, based on current sales/usage. Effective stock control can save you up to 20% of your cost of sales and, considering that can amount to 25% of your turnover, it makes sense to see the saving go straight to your profit line. • EOHCB: How to Develop a Culture of Psychological Safety in the Workplace

For psychological safety to work for teams, everyone has to commit to it — including leaders and team members. To develop a culture where psychological safety is the norm, managers can try out these four psychological safety exercises: Pose a check-in question Make a practice of taking 3 minutes at the beginning of meetings to pose a non-work-related, check-in question to participants. This allows people to see each other from a different angle and as whole people rather than just a role. Host an Anxiety Party This term is a practice used by the Google Ventures design team. It creates a structure for bringing anxieties out in the open. It also normalises vulnerability and uncertainty. Have each person spend 10 minutes writing down all the work- and project-related anxieties they felt. Then go around the circle, and share their biggest anxiety. Let their colleagues rank each anxiety on a scale of 0 (not troubling at all) to 5 (I strongly believe you need to improve this area). These parties are not about problem-solving — they give people a structure for sharing and building trust with peers. Start alone Make use of pre-work, silent individual reflection, and writing down ideas prior to having a group begin brainstorming or weighing in on someone's work. This allows people to participate equally. It also works against the "piling on" that happens when a powerful voice moves in one direction and suddenly everyone else agrees. Share your stories Employees follow the lead set by the leaders. When a manager shares their mistakes or struggles, the team has a model for how to share and be supportive of each other. Being vulnerable is not the same as not having a filter. As a leader, be clear about what your intent is in sharing a story. It should be to build trust and deepen your relationship with the team, not to unburden yourself. Key actions for developing a culture of psychological safety Psychological safety does not just come from the top. Team members need to take responsibility for creating a better environment for each other. Practice active listening during meetings and brainstorming sessions Ask thought-provoking, open-ended questioins Give support and ask for support when needed Show empathy, care, and concern for each other Praise, encourage, and express gratitude for one another Express their creative ideas and politely encourage others to do the same Give each other the benefit of the doubt when expressing challenges For any further information or enquiries please contact the EOHCB representative in your area by clicking HERE.
